HOLT’s transition from outsourcing to in-house property renovation process introduced complexities, such as the lack of a structured process to handle works and inventory efficiently. This resulted in difficulty tracking progress, assigning responsibilities, and managing resources. Additionally, the absence of a centralized data system hindered leadership’s ability to make informed decisions and monitor performance effectively.

The HOLT team embarked on the “Renovation Process Improvement” project to address existing process challenges. Over 3 months, a team of 7 members worked to create a structured, efficient renovation process by following the phases below:
Process Identification
The sProcess team began by thoroughly mapping out existing workflows and identifying pain points. This phase involved consultations with key stakeholders to understand the challenges in the current renovation process.
Process Discovery
A detailed analysis was conducted to pinpoint inefficiencies, bottlenecks, and redundancies. Input was gathered from team members directly involved in renovations to ensure a holistic understanding of the issues.
Process Redesign
Based on findings, the sProcess team developed a streamlined system for managing tasks, responsibilities, and resources. New workflows were designed to prioritize efficiency, transparency, and ease of use for all team members.
Implementation
The redesigned processes were rolled out with supporting IT systems and automation tools. This phase included configuring task management systems, setting up inventory tracking solutions, and integrating automation for repetitive tasks.
Training and Development
Comprehensive training sessions were conducted to familiarize the team with the new systems and workflows. Documentation and guides were also created to support ongoing learning and onboarding.
Monitoring and Improvement
A system for ongoing performance monitoring was established. This included setting up KPIs to measure the effectiveness of the new processes and creating a feedback loop for continuous improvement.
Improved Business Processes:
- Analyzed, optimized and documented the key business process, eliminating process wastes, identifying automation opportunities, key process participants and refining responsibilities.
Automations Implemented:
- Deployed 13 process automations to enhance team’s efficiency and decrease time spent on project management.
IT Systems Enhanced:
- Integrated 3 IT systems to support the new processes and automations. All required IT systems were already in use by the HOLT team, eliminating the need to introduce new systems in the solution.
Solution Documentation:
- Developed comprehensive guides for team training and onboarding as well as for technical solution maintenance.
